Privacy policy
Lorvia Cleaning, a cleaning company in Brussels, processes your personal data with care and only for specific purposes. This page explains what data we collect, why, how long we keep it and how to exercise your rights.

Who is responsible for your data?
The data controller is KO-ORDINATE SRL, which trades under the Lorvia Cleaning brand: Rue de l’Agriculture 117, 1030 Schaerbeek, Belgium — company number BE 1005.403.416.
If you have any questions about your data, email info@lorvia.be or write to us at the address above. We have not appointed a data protection officer (DPO), as this is not required for our type of business.
What data do we collect?
We only collect the data needed to handle your request:
- ‘Business’ quote form: company name, contact person, email, phone, municipality or postcode, type of premises, floor area, preferred frequency, site survey request, message and any photos.
- ‘Private client’ quote form: full name, email, phone, municipality or postcode, type of home, floor area or number of rooms, preferred frequency and time, message and any photos.
- Contact form: name, email, phone (optional) and message.
- Emails and phone calls: the information you choose to give us.
- If you become a client: the service address, invoicing details (including the VAT number for businesses), instructions and access information for the premises (key, badge, code) and service history.
- Technical data: IP address and connection information (server logs, anti-spam protection for the forms) and, only with your consent, visitor statistics (see our cookie policy).
Photos you send us
Photos attached to a quote request may show the inside of your home or premises. They are used solely to assess the work to be done. Please avoid including people, documents or objects that could identify you.
No sensitive data
We do not ask you for any sensitive data (health, opinions, origin…). Please do not include any in the ‘message’ field.

The tick box on the forms confirms that you have read this policy; your request is processed on the basis of pre-contractual steps.
We do not carry out profiling or direct marketing without your consent. No decision concerning you is taken solely on the basis of automated processing, apart from the anti-spam filtering of the forms. If a genuine submission is blocked by mistake, you can always reach us by phone or email.
How long do we keep your data?
- Quote requests and messages that go no further: 12 months after our last contact, then deleted (including photos).
- Photos attached to a request: deleted as soon as they are no longer needed for the quote or the service, and no later than 12 months after the request or the end of the service.
- Invoicing data and accounting records: 10 years, in accordance with Belgian accounting and tax obligations.
- Other client data (contact details, instructions, service history): for the duration of the business relationship, then 3 years to handle any complaints, unless a dispute is pending.
- Keys, badges and access codes: returned or deleted at the end of the contract or service.
- Technical server logs: for a limited period set by our hosting provider.
- Anti-spam protection for the forms: submission counters linked to a hashed form of the IP address, deleted no later than 24 hours after the last submission; log of rejected submissions (date, form, reason, hashed IP address, without the content of the message): 30 days.
- Proof of your cookie choices: 12 months.
Who has access to your data?
Your data is accessed only by the people at Lorvia Cleaning who need it to handle your request. We also use a few service providers, who are required to protect it and to use it only in accordance with our instructions:
- Hostinger International Ltd (Cyprus): website and email hosting, on servers located in the European Union.
- Google (Google Ireland Ltd / Google LLC): with your consent, website analytics (Google Analytics).
- Our external accountant: client invoicing data.
- A specialist partner, only if your request requires one (for example high-level windows that need a cherry picker) and after we have informed you in the quote: the service address and the relevant contact details.
We may also disclose data to the authorities where required by law.
Some Google services may process data in the United States. These transfers are covered by the EU–US Data Privacy Framework and by the European Commission’s standard contractual clauses.
Your rights
At any time, you can:
- access your data and obtain a copy of it;
- have it corrected if it is inaccurate or incomplete;
- request its erasure;
- request restriction of its processing;
- object to its processing based on our legitimate interest (for example a quote follow-up or an invitation to leave a review);
- receive the data you have provided to us in a commonly used format (portability);
- withdraw your consent to analytics cookies via the ‘Cookie preferences’ link at the bottom of every page.
To exercise these rights, write to us at info@lorvia.be. We will reply within one month. If we have reasonable doubts about your identity, we may ask you to confirm it.

Security
The website can only be accessed over an encrypted connection (HTTPS). Access to the website’s administration area and to the requests received is restricted to authorised persons and password-protected. The website and its plugins are kept up to date and backed up regularly.

Changes
We may update this policy, for example if we add a service or a tool. The date of the last update is shown at the top of the page.
